Privacy and what is collected
Written for the people being tracked as much as for the employers using it.
What Staff Tracker collects
Only while a staff member is signed in to the Staff Check-in app and tracking is on:
- Whether the phone is inside the work area, and when.
- At a workplace with a Place server: the phone's Wi‑Fi identifier while on the workplace Wi‑Fi, to tell which part of the site it is in.
- At a cloud-only workplace: the phone's position, so it can be compared with the work area boundary. Positions are only kept while the employer has location on.
- If the employer turns these on: whether the phone screen is in use, and the battery level (so a flat battery is not mistaken for a lost phone).
What it does not collect
- Messages, calls, photos, browsing or anything inside other apps.
- Position when tracking is stopped, off shift, or after the staff member presses Stop.
- Anything from a phone that has not been signed in and approved.
Who sees it
The employer's own managers and admins, for their own organisation only. One organisation never sees another. The operator of this service can reach the data only for support and maintenance.
How long it is kept
Raw reports are kept for 14 days on a Place server. Daily totals and timelines are kept by the employer until the staff member is deleted. Deleting a staff member deletes their recorded history.
The law
Tracking people at work is regulated. In New South Wales the Workplace Surveillance Act 2005 requires an employer to give written notice at least 14 days before computer or tracking surveillance begins, saying what is collected, how, when, and for what purpose. Employers using Staff Tracker are responsible for that notice; the list above tells you what it has to cover. Other states and countries have their own rules.
Where it is hosted
The cloud service runs on Railway in the Singapore region, with the database in the same region. Data travels over HTTPS. Transactional emails (confirmations, invitations) are sent through Brevo.
